From Salesforce to HubSpot: The Migration Playbook for APAC Companies
We’ve completed 12 Salesforce-to-HubSpot migrations in the past 18 months. Every one was different, but the patterns of success (and failure) are remarkably consistent.
Why Companies Are Moving
The three most common reasons we hear:
- Total cost of ownership: Salesforce licensing + admin staffing + integration costs often exceed HubSpot by 3-5x for mid-market companies
- Usability: Sales teams actually use HubSpot. Salesforce adoption below 40% is common in organizations without dedicated admins
- All-in-one platform: HubSpot’s Marketing, Sales, Service, and Ops Hubs eliminate the need for multiple point solutions
The Migration Framework
Phase 1: Audit (1-2 weeks) — Map every Salesforce object, field, automation, and integration. Identify what migrates, what gets redesigned, and what gets deprecated.
Phase 2: Architecture (1-2 weeks) — Design the HubSpot CRM structure. This is NOT a 1:1 copy — it’s a redesign that takes advantage of HubSpot’s native capabilities.
Phase 3: Data Migration (2-4 weeks) — Clean, transform, and import data. We use n8n for complex data transformations that migration tools can’t handle.
Phase 4: Workflow Recreation (2-3 weeks) — Rebuild Salesforce Process Builder and Flow automations as HubSpot workflows and n8n integrations.
Phase 5: Training & Cutover (1-2 weeks) — Team training, parallel running period, and coordinated switchover.
APAC-Specific Considerations
Multi-language support, regional data residency requirements, and timezone-aware automation scheduling are critical for APAC implementations. HubSpot’s multi-language content tools and regional data centers (Singapore) address these needs natively.
