Why We Chose n8n Over Zapier (And Saved Our Clients $17K)
Every agency in our space uses Zapier. It’s the default. It’s easy to set up, and it works — until the bill arrives.
When we founded EAST, we made a deliberate choice to build our automation practice on n8n instead. Two years later, that decision has saved our clients a combined six figures in automation costs alone.
The Math That Changed Our Mind
For a typical mid-market B2B client running 8,000-12,000 automation tasks per month, the numbers look like this:
Zapier: $588-$788/month (Professional plan) = $21,168-$28,368 over 3 years
n8n self-hosted: ~$50/month hosting = $1,800 over 3 years
The initial EAST setup cost for n8n is higher than a Zapier configuration — but the total cost of ownership over 36 months is dramatically lower.
Beyond Cost: The Technical Advantages
Cost savings got our attention. Technical capabilities sealed the deal:
- Native code execution: JavaScript and Python nodes for complex transformations that would require multiple Zapier steps or custom integrations
- Self-hosted data residency: Critical for GDPR compliance and clients in regulated industries
- Error handling: Built-in retry logic, error branches, and dead letter queues that Zapier doesn’t offer
- No execution limits: Scale without watching a usage meter
When Zapier Still Makes Sense
We’re not dogmatic. For very small teams with fewer than 1,000 tasks per month and simple, linear workflows, Zapier’s ease of use is hard to beat. The economics tip in n8n’s favor around the 3,000 tasks/month mark.
Making the Switch
For clients already on Zapier, we offer a migration service. We audit existing Zaps, redesign them as n8n workflows (often reducing step count by 40-60%), and handle the transition with zero downtime.
